Privacy Policy
Effective October 5, 2026
ShopCallback provides AI phone answering for auto repair and body shops. This policy explains what information we collect when a shop uses ShopCallback to handle its calls, how we use it, and how shop owners and their customers can ask us to delete it.
Information we collect
When ShopCallback answers a call on behalf of a shop, we may collect:
- Caller details — name and phone number.
- Vehicle information — make, model, year, and the issue described.
- Appointment details — requested service, preferred date and time, and booking confirmations.
- Call recordings and transcripts — where the shop has call recording enabled, so the conversation can be accurately turned into a booking or message.
From shop owners, we collect the business contact information needed to set up the service and deliver call notifications — such as a name, phone number, and email address.
How we use this information
We use the information above to:
- Book, confirm, and manage appointments on the shop's behalf.
- Text or email shop owners the details of a call as soon as it ends.
- Improve the accuracy and reliability of the answering service, including reviewing transcripts to fix mistakes.
We do not use caller or shop data to build advertising profiles or for any marketing purpose beyond ShopCallback's own service.
We don't sell your data
Caller and shop data is never sold, rented, or shared with third parties for their marketing purposes. We share information only with the service providers that help us operate ShopCallback itself — such as telephony and hosting infrastructure — and only to the extent needed to answer calls, send notifications, and keep the service running. Those providers are bound to use the data only for that purpose.
Cookies & analytics
This website uses Google Analytics (GA4) and the Meta Pixel to understand how visitors use the site and how well our marketing is working. These set cookies and share limited data — such as pages viewed, device and browser details, approximate location, and actions like submitting the contact form or clicking to call — with Google and Meta. Meta uses this data for advertising, which some US state laws treat as “sharing” personal information.
We also use Cloudflare Web Analytics, which measures aggregate traffic without
cookies or any identifier that follows you across visits or sites. We set one
functional cookie, geo_country, to tell which privacy rules apply
to your visit, plus a record in your browser's local storage of the choice you
make below.
If you're in the United States
Google Analytics and the Meta Pixel are on by default. You can opt out at any time by selecting Your Privacy Choices in the footer of any page. We also treat the Global Privacy Control (GPC) signal from your browser as an opt-out, and no cookies from these tools are set when it is on. Opting out doesn't affect your ability to use the site or call the demo line.
If you're in Canada or elsewhere
These cookies are not set until you accept the cookie banner shown on your first visit. If you ignore or decline the banner, they stay off. You can change your choice at any time through Your Privacy Choices in the footer. Visitors in Quebec: we only use these technologies after you opt in.
Your privacy rights
Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, to opt out of its sale, sharing, or use for targeted advertising, and to withdraw consent. We don't sell personal information for money, and we won't treat you differently for exercising these rights. To make a request, email [email protected]; we'll respond within 30 days. In the past 12 months we've shared identifiers, internet activity, and approximate location from website visits with Google and Meta for analytics and advertising, subject to the choices above.
Lead form and server logs
When you submit the contact form on this website, we receive the details you enter and record your IP address with the submission to prevent spam and abuse. This is kept in our hosting provider's logs for a limited time.
Data retention
Call recordings and transcripts are kept for up to 12 months from the date of the call, then automatically deleted. Appointment and message details are kept for as long as the shop's account is active, so the shop can reference its own call history. A shop or caller can request earlier deletion at any time, as described below.
Requesting data deletion
Shop owners can request deletion of any call recordings, transcripts, or booking data tied to their account by emailing us at [email protected].
End customers — anyone who has called a shop using ShopCallback — can request that their name, number, and call details be deleted by emailing the same address with the phone number they called from and the shop they contacted. We'll verify the request and remove the associated data within 30 days.
Security
We use reasonable technical and organizational safeguards to protect caller and shop data against unauthorized access, loss, or misuse.
Changes to this policy
If this policy changes, we'll update the effective date above and, for significant changes, notify shop owners directly.
